Wikimedia Belgium owns the following bank accounts:
- With Triodos:
- Expense account, internal to Wikimedia Belgium; the main current account
- Foundation account, to manage receiving, allocating, and returning of Foundation grants
- Savings account, long and medium term funds, not allocated (yet) to projects
- Time deposit account (short term deposits; awaiting project implementation)
- e-DEPO long term savings account, managed by the Belgian Federal Government (automated access with e-ID)
- PayPal account; not actively used
Bank transactions
[edit]- Processed and approved by 2 board members (4-eyes principle)
- Need to be audited by the kascommissie, before approval of the financial statements
- We do not have a bank card, nor credit card, to avoid abuse
- We never use cash:
- All payments are done via wire transfer, based on invoice or expense claim
- In the future we plan to use Payconiq for incoming payments
- (large) Invoices require a preceding order, and Board approval, depending on the amount
- Expenses require proactive approval, and PDF copies of tickets (JPEG images should be avoided)
- Transactions are certified by PDF (non-repudiation) account transaction statement, and CAMT.053 XML or Excel extracts for transparant reporting and auditing
