Proposed programme[edit]

    • welcome by master of ceremonies
    • welcome address by chamber president
    • small speech by our Godfather Michiel Hendryckx
      • I forgot one subject in my brainstorm about the programme, this image should be included:

    • opening address partly in dutch and french by president and antoine (subjects see email by Romaine)
      • The current board should be presented, it should show our diversity in backgrounds, languages, age, etc
      • We should tell why it is important and a good idea to have a chapter in Belgium
      • What are the goals of WMBE
      • What are our opportunities and what wishes do we have
      • What do, we work on and what projects we like to do
      • Announcement of general assembly
      • Asking people to become member, and how to do so (by Romaine)
    • IF a wiki dignitary is invited and might want to say a few words (did we invite someone ? )
    • If we want soemone to say a few words in west vlaams then i suggest I ask Wim Opbrouck ( cfr his comedy act that people form west flanders are subtitled on telvission... and that we have a westvlaamse wikipedia) (by Derek)
Hey Derek, some comments:
  • there's no budget for standing banners yet... we can ask the Dutch to use their banner design. It's fairly common.

(Please do not start making our own logos like with Belgian flags in it ... this is not allowed in the copyright agreement with the Foundation)

    • Earlier today I did create some logo variant in the way the visual guidelines describe, see: Wikimedia_Belgium_logos (by Romaine


  • 3) Standing banners (Romaine)

We have to comply with the chapter agreements, including visual identity guidelines. We can't freely change the logo. And for the sake of clarity towards the public we shouldn't either. Mentioning vzw is not common and not needed. Also our logo does not show "vzw". I think it is better to follow the design other chapters use. Yesterday I spoke with WMNL about their banners, so I know what I should order. As I said, I have no problem with ordering the standing banners and paying for them now in advance, expecting that next year (or something) when we receive a grant the costs are covered. (Or maybe I find another creative way to finance them.) I have seen multiple projects where standing banners were used, and those are very important to present ourselves in a professional way. If people see the Wikipedia logo, their minds really open up and are interested in what we do. So I really want to order them this week, it is only 3 weeks away and these can be used multiple times for many events. (by Romaine)

    • I will pay for the standing banners and order them. (I hope to get it refunded next year or so with budget or I find another way to finance them.) I have been active with various projects where they have been used and appear essential to give a good impression, etc. A first impression should be a really good one. We also need leaflets. I will try to arrange something.
    • I think the talk should be max an hour, so that we have time to talk with people. I think it is important to have the opportunity to speak with everyone, so we can start collaborations. Romaine (talk) 19:44, 28 October 2014 (UTC)[reply]
    • I second Romaines proposal , I suggest that we (the board) do agree on the order of standing banners and agree to refund romaine later, unless we can get some funding elsewhere as you suggested Maarten over the phone and then we can refund romaine earlier ; I asked Romaine to send me details of the pricing of these standing banners and on the suggested content. --DerekvG (talk) 17:24, 30 October 2014 (UTC)[reply]

  • Talk by Maarten (Dutch with a few sentences in West Vlaams); 5-10 min
  • Talk by Antoine (French with a few sentences in Walloon); 5-10 min
  • Closing words M. Bracke 5 min
  • Cocktail (30 min - 1 hour max)
  • End of the event: 17h

Organsiational tasks[edit]

  • Romaine has created Foundation_of_Wikimedia_Belgium
  • * drinks etc @Andries its customary that the chamber president offers a drink and amuse geule in such events , Andries can you liaise with chamber protocol that that is the case or what we need to do to purchase from the chamber catering service

invitations[edit]

  • Invitations : I expect to start sending invitations tomorrow morning. If I can send an invitation for you to a specific address: let me know. 2 main purposes: 1. Wikimedia Belgium is founded and active and 2. we organize a founding event where people can meet us. Sending the invitation is a normal activity to acknowledge our existence. I personally do not expect more than 50 people to come, but I think it would be difficult to have a quotum for this.
  • As Derek says, all confirmations should be send to wmbe@wikimedia.org so I can hand this over to the Chamber. I just started the list of people who will be present. Now are on the list all board members (besides Alberto) + Andries Van den Abeele. Everyone else needs to send an e-mail to confirm their presence to wmbe@wikimedia.org.
  • Membership page : We should also think of creating a membership page where we explain how to become a member. Becoming a member of Wikimedia Belgium Who can take up that task? (by Romaine)
  • @ Andries please liaise with Chamber protocol they usually provide an event email address (format "19nov2014@dekamer.be" ) for registration , we will keep them informed of registrations on the WMBE address ,
  • @ AlI IF you want Romaine to send invitations please provide lists of invitees with email addressses to him
  • @ All if you want to send personal invitations ask your invitees to confirm at our WMBE address and send the list of invited people (with their email addresses ) to wmbe@wikimedia.org
  • press invitations : who has a list of journalists ? please lets compile a list of press contacts so that we can invite the press... can someone set up a page in the wmbe area please

Invitations list[edit]

The list so far contains the following (divided in 3 groups to keep an overview):

  • Group 1: Wikimedia organisations (incl. individual some board members, office members) who have been communicating with us or have visited Belgium
  • Group 2: organisations and individuals we worked with or had contact with or had Wikimedia related activities in Belgium
  • Group 3: individual users & mass media (mailing lists, on wiki, Twitter)

Notes[edit]

- Notary : @Andries to set up a vzw a " onderhandse akte" is legal requirement, that means no notary is required , because no notarial acte is needed, don't worry it not an oversight . Our vzw is already founded the event in the chamber is not the first Gen. Assembly Meeting the founding Gen Ass'ly has been done - all founding documents have been duely signed and have been submitted at the court's greffe and we have obtained a Ondernemingsnumber , publication of our submitted statutes will follow shortly , Wikimedia Belgium vzw is an incorportaed association according to belgian law - en bonne et due forme as they say.
